Board

President Roderick Chambers called the meeting to order.

Executive Board approved for Eddie Swindall to close the money market account and received new bank cards.  The Board approved for Jimmy Patrick to change/ update the Bi- laws.  The Board approved putting the scholarship into the Bi- Laws.

Old Business

  1. During this meeting Roderick Chambers informed us that the meeting with ADOC was cancel without cause on February 23, 2024.
  2. The new Committees Chairs are:
  3. Tee shirt committee: Leslie Robinson, and Leslie Busby.
  4. Food Committee: Tiffany Crawford, Micheal Arnold, and Jerald Jackson
  5. Scholarship Committee: members-Amy Walton and Brad Mc Vay
  6. Treasurer Report: $17, 802, Check: $500 refund from Clearview, Fee of $9.82 due to closing the Account.
  7. Ken Brown is handing the 501-C3, and stated the only hold up is needing a current address. The Board agree to use Terri Vosbury address.

Committee Reports

Golf Committee – Chair- Kristi Smith Co-Chair- Rebecca Bensema

President Roderick Chambers informed Kristi Smith that its’s time to go to work on getting a date, reserve the venue and start reaching out to players. We decided to go back to RTJ Golf Trail at Capitol Hill the 2600 Constitution Ave, Prattville, AL 36066 as our venue. 

Kristi Smith stated that they are excited about the 2024 Golf Tournament, however they need participation from everyone.

Scholarship-

Jill Stallworth mentioned that we need to move forward on giving out this year scholarship and stated that she wants to give $2000 out of the scholarship funds.  The board agree to give 2,000 for ACCD 2024 Scholarship.

Speakers – Chairs- Micheal Arnold, Co-Chair – Katrina Brown

Terri email Mr. Arnold the Presenters’ Biography of a speaker UAB for review.  Roderick Chambers informed Mr. Arnold that they will have a speaker’s meeting on March 6, 2024, via Teams.

Registration – Chair- Doris Henry, Co-Chair Pamela Osborne, Sharonda Edwards

President Roderick Chambers reiterated to the Committee Chair that ACCD is working on getting a new software for registration. He stated that the deposit has been paid, and that he is still collaborating with the website developers. We observe a generic rough draft and discuss some of the amenities that’s going to be on the site. Such as scholarship tab, members only tab, administration tab, and PayPal tab.

President Roderick Chambers informed Doris Henry that we will need two to three people working the registration table during the Spring Workshop. One handling the payments thru the website, one taking up cash, and one handing out the certificates to attendees that does not work for PNP.

Local Arrangement – Chair- Nickolas Ward, Co-Chair-Stephanie Schodorf

President Roderick Chambers informed Nickolas Ward Committee Chair that we need 4 to 6 door prizes/ gifts for the raffle. Chamber stated that we also need 2 to 6 gift baskets for invited speakers, chief, sheriff, and mayor.

Exhibits / Vendors – Chair- Eddie Swindall, Co-Chair: Ebone Williams

Eddie Swindall stated that he has 3 paid vendors for the Spring workshop and will add ACI as a paid Vendor. Eddie stated that the goal is to have at least 10 vendors for Spring workshop, and that all Vendor letters has sent out for dissemination.

Long range planning/ Fundraising – Chair- Leslie Robinson, Co-Chair Tanya Wilson

Resolutions – Chair- Jared McPaul, Co-Chair: Lamanda Thomas

Bi-Laws: Chair- Jimmy Patrick, Co- Chair- Robby Robinson

Jimmy Patrick stated that the Bi-Laws will be complete by the Spring Workshop.

Nominations: Chair- Tijwana Alexander, Co-Chair Heather Fleming

Public Relations: Chair- Micheal Hilley, Co-Chair Nickolas Ward

Food Committee:  Chair– Tiffany Crawford, Co-Chair- Micheal Arnold

Tiffany Crawford stated that the menu has been established, they are waiting on one donation. Roderick Chambers informed Tiffany Crawford  that they will have Food committee meeting on March 6, 2024, via Teams.

Tee shirt committee: Chair- Leslie Robinson, Co- Chair- Leslie Busby

 

New Business

President Roderick Chambers stated that the Spring Conference / workshop will be April the 18th at Oxford Civic Center. He discussed the number of door prizes and gifts that is needed, and he stated that local arrangement needs to have an additional meeting to finalize things. Eddie Swindall stated that we have three paid Vendors, and we must add ACI to the paid in full list. President Chambers discussed the need to getting Biographies from speakers to put them in the Spring Brochure.  He informed everyone to send their speaker Biography to Mr. Arnold for approval. Once approved by the Speaker Committee then the Program Committee can place it in the Spring Brochure. President Roderick Chambers discussed, explained, and revised the rough draft of the Spring Brochure. He also spoked about the outline of our new website software for registration. We converse about the different tab that need to be added to the software.

 Terri Vosbury forward Dr. Arturo Menefee bio to the speaker committee for approval. President Chambers informed the Food Committee, and the Tee- shirt Committee of their meeting on March 6th & 7th to solidify final detail. If the design isn’t approved, then we will have to resale the old shirts.  President Roderick Chambers informed the Golf Committee that its’s time to go to work on getting a date, reserve the venue and start reaching out to players. We decide to go back to RTJ Golf Trail at Capitol Hill 2600 Constitution Ave, Prattville, AL 36066 as our venue.  We’re still looking for a venue for the ACCD Family Fun Day. Some suggestions were Oak Mountain, and Coba.  Mr. Arnold reported that ACI will be providing the gag bags for Fall Conference of 2024. The gag bags will have ASADS on them, and each vendor digital business card/ logo printed on them. We all voted that the Scholarship for 2024 is $2000. President Chambers stated that the Scholarship Committee will come up with the requirements by the next meeting. Some suggestions were to have a 500-word essay on topics like How to improve Law Enforcement and the community, or How to improve recidivism rates.   

President Chamber stated that we still need to get a chair and Co-chair for the Scholarship Committee.  

Announcements

President Chambers asked everyone to continue to look for speakers and to make sure to get their Bio to Mr. Arnold in a timely manner. The theme is Bridging the Gap. BTG means Bridging the Gap between Law Enforcement and Pardons and Paroles. He announced that Ken Brown is updating the 501-C3 information for ACCD.

Terri Vosbury stated not to forget about the small/ advertising fundraiser, charging $50.00 per business card that will be advertised on the Spring Workshop brochure.

Committee Reports

Golf Committee – Chair- Kristi Smith Co-Chair- Rebecca Bensema

Kristi Smith stated that we will be meeting at 9:00am September 10th at RTJ Golf Trail at Capitol Hill the 2600 Constitution Ave, Prattville, AL 36066.  She stated that we need door prizes, and Sponsorships. Kristi stated that she needs to reach out to Jill about the pricing of the lunch boxes.  Kristi Is also asking for all committee members to email her to purchase a golf shirt, if they don’t already have one.

Scholarship-

  • Scholarship application is created and waiting to be put on to website in April.
  • The deadline for the scholarship will June 30.
  • We will be presenting the scholarship for $2000 at our Annual Golf Tournament on September the 10th.
  • Nickolas Ward stated that he would research the cost of the different styles of Big Check to present to the winner.

Speakers – Chairs- Micheal Arnold, Co-Chair – Katrina Brown

Mr. Arnold stated that we have 2 confirmed speakers for the Spring Workshop, and 4 confirmed speakers for the Fall Conference.

Registration – Chair- Doris Henry, Co-Chair Pamela Osborne, Sharonda Edwards

President Roderick Chambers reiterated to the Committee Chair that ACCD is working on getting a new software for registration. He stated that on April 1st via teams we will have a workshop on How to use the new website.

President Roderick Chambers stated that the Spring Brochure is complete and ready for dissemination.  

Local Arrangement – Chair- Nickolas Ward, Co-Chair-Stephanie Schodorf

President Roderick Chambers informed Nickolas Ward Committee Chair that we need bag stuffer for the Fall Conference.  Nickolas Ward stated that he is waiting on Dicks sporting Good to approval a $ 1500 gift card, and he has also done applications for Home Depot, and Academy.  Nickolas Ward stated that he has $200 worth of gifts, and 4 baskets that are under $25.

  • Door prizes consist of two Togo bags, sit organizers, 2 Stanley Cups, and a day at the gun range,

Eddie Swindall stated that he has no new paid vendors, only 3 paid vendors for the Spring workshop. He stated that he has a new list of venders to solicit. He stated that GEO and Yes Care has confirm for the Fall Conference. Tawana stated that she has solicited Kroger, Cola, State Farm, and Tito’s, and she is waiting on approval/confirmation.

Long range planning/ Fundraising – Chair- Leslie Robinson, Co-Chair Tanya Wilson

Fundraising for May – Leslie Robinson stated that she needs a face painter, food trucks/vendors, referees for kickball tournament, and a location.

President Roderick Chambers stated that we got a good deal on the shirts and they $20.00 for all sizes. (must have a two week turn around) T- Shirt will be Displayed via email.

Resolutions – Chair- Jared McPaul, Co-Chair: Lamanda Thomas

President Roderick Chambers stated that Chair Jared Mc Paul need to assign someone to speak about Mrs. Nancy.

Jimmy Patrick stated that the Bi-Laws will be complete by the Spring Workshop.

Food Committee:

Tiffany Crawford stated that donation has been confirmed.

Terry volunteer to storage clean chicken and fish in her office freezer.

Eddie Swindall stated that they donated 5 40-pound boxes of chicken.

It was stated that we will meet on the 17th of April at 9:00am to clean the chicken. We need every to bring your own Knife, cutting board, scissors, and gloves.

Tee shirt committee:

New Business

President Roderick Chambers stated that he appreciates everyone for all that they do on a day to day basic.  The Spring Conference / workshop will be April the 18th at Oxford Civic Center.  He stated that we will have a trumpet player to play the plead of allegiance. President Roderick Chambers asked for someone to reach out to the Mayor about the Spring Workshop. He stated that Bi- laws committee chair needs to assign someone to read the Bi- Laws. He stated that local arrangement has all the gifts and baskets for the Spring Workshop. President Chambers stated that the Spring Brochure has been disseminated. He also spoke about meeting on April 1st via teams at 1:00pm on How to use the new website software for registration. President Chambers informed the Food Committee, that they must assign volunteers to clean the chicken and fish for the Spring workshop.

Old Business

  1. Treasurer Report: 19,979.25; Scholarship Fund 22; *$500.00 will need to be put onto the Scholarship Fund before we can pay Scholarship, to avoid a maintenance fee. Pay pal balance is 936.35.
  2. Ken Brown is handing the 501-C3.
  3. Spring work had 149 people to check in, and we accounted for 146 people. Spring work had 4 exhibitors (CPOF, Blue Alpha, Oxford House, Talitrix). Overall, the Spring workshop bought in 5,203.45, and profit 4,004.88.

 

Committee Reports

Golf Committee – Chair – Kristi Smith Co-Chair- Rebecca Bensema

Kristi Smith stated that Eddie has created and disseminated Golf Flyers to the board members. She also reminded everyone we will be meeting at 9:00am September 10th at RTJ Golf Trail at Capitol Hill the 2600 Constitution Ave, Prattville, AL 36066.  She stated that we need door prizes, and Sponsorships, and that we should target places like Alfa, State Farm, or Blue cross Blue Sheild.  Kristi stated that Eddie has reached out to Jill about the pricing of the lunch boxes, and it is finalized   Kristi Smith stated that Pamela Osborne will be creating a Sponsorships list in google docs to keep track of donations. Kristi Smith stated that Skip Duffie will be getting in touch with WSFA about the Annual Golf Tournament.

Scholarship-

  • Scholarship application is on the website.
  • The deadline for the scholarship will June 30.
  • Scholarship will be reviewed in real time, they will be recommended by the Scholarship Committee, then the Board will vote.
  • We will be presenting the scholarship for $2000 at our Annual Golf Tournament on September the 10th.
  • ACCD will add the rules, requirements, and the process of the Scholarship fund to the Bi- Laws.

President Roderick Chambers stated that they need 7 speakers.  three of the speakers are still being considered for the Fall Conference.

The Closing speaker will be Adam Davis.

Doris Henry stated that they had some issues with scanning, but it worked out well.

  • She informed everyone that members registration has not been updated on the website, and that you should contact Eddie for the QR scan to become a member of ACCD.

President Roderick Chambers stated that the Fall Brochure is not complete, that he is still confirming speakers, vendors, and arrangements for the Fall conference.

President Roderick Chambers informed Nickolas Ward Committee Chair that we need bag stuffers for the Fall Conference. He also stated that we will need a total of 9 gift baskets. Nickolas Ward stated that he is in the process of collecting gifts, and prizes for the Golf Tournament, and the Fall Conference.

Eddie Swindall stated that he has 3 paid vendors for the Fall Conference. (Starting Point Outreach, COPF, Smart of Alabama) He asked for everyone to please reach out to any contacts you may have, we are trying to get at least 15 vendors for Fall Conference.

Jimmy Patrick stated that the Bi-Laws update will be complete by June.

Jimmy informed the Nomination committee of the Fred Bryant Award, and the requirements to submit.

Food Committee:

Tiffany Crawford stated that they are still in the process of finalizing the menu for the Fall Conference.

Tee shirt committee:

They sold 1,529 dollars’ worth of shirts.

They are ordering an additional 50 shirts for the Fall Conference.

New Business

President Roderick Chambers stated that he thanked everyone for being a part of the Spring workshop.  The Spring Conference / workshop was held April the 18th at Oxford Civic Center, and it was a success.

 President Roderick Chambers stated that the Annual Golf tournament will be handle on September 10th at RTJ Golf trail at Capitol Hill 2600 Constitution Ave, Prattville, Al 36066. President Chambers stated that the Scholarship Committee will present the scholarship to the winner at the Annual Golf tournament. President Chambers stated that there will be no Fundraiser in May due to scheduling.  He also mentioned that he spoke with the ADOC commissioner, and he stated that ACCD has their full support. President Roderick Chambers stated that for the Fall Conference we will have a parking fee of $ 10.00 a day, and if you’re on a committee then that will be a 40.00 fee. However, if we get enough Sponsorships or donations, then we can cut that price. President Roderick Chambers stated that to be sure to remind all sponsors about the logos on the Fall Conference Swag bag. He stated that local arrangement needs swag bag stuffers, and that everyone is on local arrangement committee. Chambers stated that there is still major update to be done to the website by Charle.

  1. Treasurer Report: Checking balance $24,454.50 no outstanding debits or checks.
  2. Scholarship Fund 2002.18. Zero cash or petty cash on hand.
  3. PayPal; balance$3,136.17
  4. Once we pay out the scholarship, we’ll need to leave/move at least $500 in the scholarship fund account to not incur any fees.
  5. **Still having difficulty getting STAARS and Alabamabuys.gov information updated to be able to process the spring ADOC invoice of $945.
  1. ***The website is now working for those ready to pay annual dues, register for the golf tournament, or fall conference.

Golf Committee – Chair- Skip Duffie & Ken Brown Co-Chair- Rebecca Bensema

  1. Golf Tournament: no registrations or money raised for the golf tournament yet.
  2. Skip Duffie want a meeting after the meeting on July 18, 2024, to organize assignments for the Golf tournament.

Chair- Kristi Smith step down from being Golf committee chair. Skip Duffie and Ken Brown is now Chair and Co- Chair of the Golf Tournament.

  1. Micheal Arnold is working on getting plaques for the speakers.

Registration – Chair- Doris Henry, Co-Chair Pamela Osborne, Sharonda Edwards

  1. Fall Conference: we have one paid registration.
  2. Henry Doris is requesting for a laptop and printer, to have during spring and fall registration to registration people in on site. Mrs. Henry also stated that she has contact the donor about lanyard and ribbons needed.

  1. $300.00 Raised from Program Ads.
  2. Pictures will be taken on July 18
  3. President Roderick Chambers stated that we need someone to do the presentation of the color, and Pledge of allegiance.
  4. Program Agenda is complete besides the exact room number.
  5. Morgan Murphy has volunteer to introduce the head table for the Fall Conference.

President Roderick Chambers stated that we need door prizes for both the golf Tournament and Fall Conference.

  1. President Roderick Chambers stated that we need to know an accurate number of shirts before placing the next order.

 President Roderick Chambers stated that we need we are still waiting on the Bi- Laws form Jimmy.

Tijwana Alexander stated that they are still accepting and reviewing nominations for the awards.

New Business

President Roderick Chambers stated that Michael Arnold has the new bags for the Fall Conference. He stated that all the rooms are selling fast. That we only committed to 150 rooms at the code price, and that 75 rooms are already reserved. President Roderick Chambers stated that all classes will be held from 9-am to 3pm, and your able to earn 10 CEU for this conference.

 President Roderick Chambers stated that we need to raise enough funds to help pay for parking at the Fall conference. He stated that if you know of any person or company that enjoys golf then please reach out and invite them to our Annual Golf tournament.

 President Roderick Chambers stated that the website is 95% done. Therefore, everyone can pay your annual dues and/or register for the Annual Fall Conference online thru our website.
